The problem is not data entry. It is what happens between the files: the free time that expires while the client looks for a truck, the deposit left with the shipping line after the empty is returned, the disbursement advanced and never rebilled, the cash advance whose receipt nobody can find, the client who keeps calling because they see nothing. These losses are written down nowhere, and that is exactly why they slip through.

What Doanix is

Doanix is a platform for customs, commercial and logistics operations: from customs clearance to final delivery, every file, every document and every franc in one place. It is a hosted web and mobile application where each member of your team signs in with their own account and their own role.

It is organised into two connected but autonomous workspaces: Doanix Customs for the freight forwarder and customs broker, Doanix Fleet for the carrier. One company can run both; a pure carrier can use Fleet alone, a pure broker just the customs side. On top sits the client portal: your clients follow their files live, read their documents, approve your quotes and receive their invoices, without calling you.

French first: the application, the documents it produces and the support are in French; English and Portuguese are available for your correspondents. On a computer or a phone, your declarant at the port and your director at the office work on the same truth, live.

A Monday morning with Doanix

You open the platform. Three containers are past their free time and today’s amount is on screen; a fourth expires in two days, so you call the client before it starts costing. A deposit became reclaimable over the weekend because the last empty was returned: it shows up in your finance lead’s tasks. A cash advance has been waiting for its receipt for three days: the requester is chased automatically.

None of that required a spreadsheet, a phone reminder or the memory of an experienced declarant.

Doanix Customs: the broker’s workspace

The full life of a file, with the same rigor from the first document to the final collection:

• Files and workflow. Each file moves along a step path matching your local procedure, with statuses, role-based assignments and a justification for every transition. At closure, the cleared file locks: your archives become untouchable records.
• Documents under control. A required-documents checklist per operation type, AI reading of the bill of lading and packing list, review and approval, central archiving, alerts on missing documents.
• Containers, free time and deposits. Doanix knows each line’s free time by location, container type and size, counts days from discharge and projects demurrage, detention and storage before they hit. Every deposit is tracked until it is refunded.
• Expenses and cash advances. Every franc advanced is a line on the file, rebilled as-is with its receipt. Advances follow a full circuit: request, approval ladder, cash desk, justification within a deadline, recovery through the invoice. No more WhatsApp threads to reconstruct.
• Invoicing and treasury. Quotes and proformas, a strict split between disbursements and fees, multi-currency invoicing, credit notes, allocation, reminders, statements of account, cash position and export to your accountant.
• Valuation and duties. The customs value as it appears on the declaration, duties and taxes computed line by line, a worksheet to check against the official declaration, with the gap displayed.
• Steering. Executive dashboards, a performance index per agent, reports on receivables, volumes and lead times. You manage with numbers, no longer with impressions.

Doanix Fleet: the carrier’s workspace

The same system follows the goods to the last kilometre, and works just as well for an independent carrier:

• The trip is born from the file. The cleared container becomes a trip with its driver and truck, with no re-entry; the customs office sees the status and the proof of delivery flow back onto its file. A trip can also be created on its own, for any client.
• Vehicles and drivers. The fleet with its documents and their expiry dates, the drivers and their papers, alerts before anything lapses: compliance stops being a surprise.
• The driver on their phone. Check-in, signed proof of delivery with photos, incident reporting from the road: the office sees everything arrive live.
• Fuel, maintenance and tires. Fill-ups with computed consumption per vehicle, work orders and planned preventive maintenance, tires tracked by position.
• GPS and tracking. Live position and routes when a tracker is installed, geofencing of key zones.
• Transport invoicing and profit per truck. Invoices to the broker’s client or to a third party, collected and allocated like any other; real costs per vehicle and a clear answer to the question that matters: which truck makes me money, and which one loses it.

What Doanix does not do

We prefer to say it ourselves. Doanix does not file your declaration for you: the official system remains the official system; Doanix prepares, computes, checks and invoices around it. Duty and tax amounts are indicative until the official assessment, and Doanix shows you the gap. Doanix is not your general accounting: it holds the file, the disbursements, the invoicing and the collection, and exports to your accountant.

Security, already in place

Your files are your goodwill. Here is what protects your data today:

• All traffic is encrypted, and sensitive data is also encrypted at rest, field by field, with keys held outside the database.
• Strict isolation between the companies hosted on the platform, enforced on three independent layers: the application, the database and file storage, served through signed links valid for a few minutes.
• An append-only audit log: every action is recorded with its author, date and device; nobody can erase it, administrators included.
• Role-based access: everyone sees what their function requires, from declarant to cashier, nothing more. Two-factor authentication is available and enforced once enabled.
• Point-in-time backups, and your data remains exportable and recoverable at any moment: it belongs to you.
